Advertising your event
What you will learn in this chapter
- Accessibility guidance when advertising
- Information you need to provide
- Venue details you should share
General accessibility
You should write text in at least 14 point size Arial. Text should be left aligned. Justified text is harder to read.
If you are creating documents, send them in a Word document format. PDFs cause accessibility problems.
How to make your Word documents more accessible (Scope for Business)
Social media is a popular way to advertise for events. You should make sure your content is accessible. This includes:
- alternative text (alt text) for images
- colour contrast
- captions for videos

General information
There is one major principle to make your event accessible. It’s to make sure attendees know what to expect as much as possible.
Each person is an expert on their own needs. Having information will help them decide if they can attend. They might need to ask you more information before making a decision.
General information to include:
- Date of the event.
- Time of the event.
- Location of the event.
- Cost of the event, if applicable.
- Basic schedule, including break times.
- If food and refreshments are provided.
- If there is an option to join remotely.
- How to contact you for more information or to request alternative formats.
Information about the venue
You should also tell people about the venue. This includes:
- Basic information on the venue and its accessibility.
- Photos and videos of the venue and local area, if this is possible.
- Basic information on how to get there. You can give more details closer to the event, when you are able to check for road closures or public transport disruptions.
