Make it easy to contact you
When people RSVP for your event, they should have the chance to contact you. This way they can share access needs and dietary requirements, for example.
They should be able to do this in different formats so they can choose what is best for them. At a minimum, you should give them a phone number and an email address.
Registering and RSVPs
When people register or RSVP, make sure to get all the essential information you need to make it inclusive. Ask everyone for their:
- name
- contact details: number and email address. Clearly explain what this information will be used for and how long it will be kept for.
- access requirements
- dietary requirements if refreshments are provided
Some people might need to bring in someone to support them. It could be a:
- support worker
- communication support worker
- personal assistant
- carer
Some people might need more than 1 person with them. It’s important to know this in advance for fire safety reasons. It should be standard to provide any extra tickets as an adjustment. If the event has a cost, any companion ticket should be free.
Optional information
You can get some extra information if it’s helpful:
- Job title and organisation, if relevant.
- How do you plan to arrive at event? This can help you tailor joining instructions for larger events.
- Do you need assistance with costs to attend? Life costs more for disabled people, so if you are able to provide financial assistance, please make this clear.
You might also want to consider asking people for their pronouns, if they want them printed on their name badge.
